Job Description:
Our Ocean Assistant Operations Coordinator's responsibilities include extensive customer service support i.e. freight quotes, transit times, routing changes, service information, coordination of the pickup and delivery of cargo and the issuing of biweekly status reports. Job duties include the negotiation of rates, preparation of documentation in compliance with U.S. law, coordination of shipments and the filing of rates with the FMC. The booking of ocean shipments with carriers and NVOCCs. Prepare billing information, issue client invoices and coordinate with the accounting department.
Qualifications:
- Education: High school or equivalent (Required)
- Experience:
· 1-3 years of overall Ocean Operations experience
· Preferred: Proficiency with OneView and other Ocean software
· Preferred: Experience in the other fields of the Freight and Transportation Industry
· Skills
o Superior customer service skills.
o Excellent verbal and written communication skills.
o Proficient with computers and quick learner with new platforms and software tools.
o Ability to work under pressure with deadlines.
o Hands-on self-starter with the ability to effectively follow difficult issues to resolution.
o Good working knowledge of world geography.
Key Responsibilities:
- Provide Comprehensive Customer Service Support: Responding to inquiries about freight quotes, transit times, routing changes, and service details; coordinating pickup and delivery of cargo.
- Negotiate Rates with Carriers, NVOCCs, and Other Logistics Partners: Book ocean freight shipments with both carriers and NVOCCs, preparing billing details and issuing client invoices accurately and promptly.
- Prepare and Manage Shipping Documentation: Coordinate ocean shipments and ensure accurate, timely filings with the Federal Maritime Commission (FMC) and ensure shipping documentation is in full compliance with U.S. laws and regulations.
- Collaborate with Internal Team Members: Effectively communicate and work with other employees, including members of your Ocean department, the Accounting department, and Warehouse staff.
Working Conditions:
- Location: In-office setting based in Houston, TX 77032 (Ability to reliably commute or relocation required).
- Hours: Full-time, Monday to Friday, 8:00 AM to 5:00 PM. Additional hours may be required.
- Physical Demands: Must be able to stand, walk, bend, lift up to 50 lbs., and move freely between office and warehouse environments.
Additional Requirements:
- Ability to work at a desk for extended periods and successfully operate in an office setting, moving throughout the environment and communicating effectively both in person and electronically.
- Proficient use of office equipment, including documents and file management, proper computer handling, and familiarity with programs such as Microsoft 360.
- Adequate vision and manual dexterity for document reading, data entry, and processing financial records.
- Fluency in presenting ideas and technical information, and the ability to communicate effectively with individuals at various levels, including customers, vendors, lenders, regulatory agencies, management, and internal personnel.

- Salary Range: $22-$24 Hourly depending on experience.
