Job Title: Charter/Dispatch Supervisor
Job Summary:
The Charter/Dispatch Supervisor is responsible for overseeing all charter operations, managing the dispatching process, ensuring seamless communication with drivers, and handling client interactions. This role includes managing calls, entering jobs into the system, confirming trip details, tracking deviations for additional billing, and maintaining efficient charter operations. This position may require flexibility in duties to meet the evolving needs of the company.
Key Responsibilities:
- Charter Operations Management:
- Oversee the coordination of charter bookings and dispatch schedules for all routes and trips.
- Ensure all charters are scheduled and dispatched on time, adhering to client expectations and requirements.
- Call Management:
- Handle incoming calls related to charter bookings, customer inquiries, and driver updates.
- Respond to emergency or last-minute requests promptly and efficiently.
- Job Entry & Coordination:
- Accurately enter job details into the system, ensuring all trip information is complete and correct.
- Confirm trip details with drivers, including pickup/drop-off locations, timelines, and specific customer needs.
- Driver Communication:
- Maintain clear and timely communication with drivers regarding trip details, route changes, delays, or special instructions.
- Monitor drivers' progress on trips and ensure they follow the established route and schedule through GPS and other systems.
- Deviation Tracking & Billing:
- Track deviations from the planned routes and timelines, ensuring proper documentation for additional client billing or adjustments.
- Communicate with the accounting team to ensure accurate billing for any deviations or additional services provided.
- Client Interaction & Customer Service:
- Provide excellent customer service by confirming details with clients, addressing concerns, and updating them on the status of their charter.
- Proactively notify clients of any delays, cancellations, or changes to their scheduled trips.
- Reporting & Documentation:
- Maintain detailed records of all charters, including schedules, driver communications, deviations, and billing information.
- Prepare and submit reports on charter operations, performance metrics, and client satisfaction to management.
- Problem Resolution:
- Act as the point of escalation for any operational issues, addressing concerns related to delays, driver issues, or customer complaints.
- Ensure quick resolution of any challenges while maintaining high levels of service quality.
Qualifications:
- Experience:
- Minimum of 2-4 years in a dispatch, operations, or customer service role within the transportation industry.
- Prior experience in charter coordination or supervisory roles preferred.
- Skills:
- Excellent communication skills, both verbal and written.
- Strong organizational and multitasking abilities.
- Proficient in dispatch software and general office tools (e.g., Microsoft Office Suite).
- Ability to handle stressful situations and problem-solve quickly.
- Knowledge:
- Familiarity with transportation scheduling, route planning, and customer service protocols.
- Understanding of billing processes related to transportation or charter services.
- Other:
- Ability to work flexible hours, including evenings and weekends, to accommodate charter schedules.
- Strong attention to detail and accuracy.
- Willingness to adapt to changing needs and take on new responsibilities as required.
Job Type: Full-time
Pay: $50,000.00 per year
